Record Keeping Policy

Lead Social Ltd T/A PandaPCP maintains records of its business operations and transactions so that the FCA can monitor our compliance with regulatory requirements and our obligations to clients.
General record-keeping requirements
We retain documentation relating to the claims management services we provide, including advice given to and correspondence with our clients, and any correspondence with third parties. Records are kept in line with the relevant FCA Handbook modules covering accounting, service transactions, conflicts of interest, employment history and complaints.
Specified record-keeping requirements (CMCOB)
Under the Claims Management Conduct of Business Sourcebook (CMCOB), we maintain records including:
- Due diligence on lead generators and the sources of sales leads.
- Telephone calls and electronic communications.
- Client confirmation that they have been informed of alternative ways to pursue their claim.
Retention of records
- Records are retained only for as long as necessary for their purpose.
- Retention periods are set in accordance with our Data Protection Policy and applicable regulatory timeframes.
- Expired records are securely destroyed following our disposal procedures.
- Our systems are designed to protect the adequacy, accessibility and security of records.
Responsibility and monitoring
Management ensures compliance through regular reviews of records for accuracy, secure destruction of obsolete material, and access restricted to authorised personnel only.
